Day Use Online Reservation Capabilities Directly in the RoverPass App!

Learn how to use RoverPass to offer online reservations for Events, Day Passes, Facilities, or other Daily Rentals!
What is it?: RoverPass offers an integrated solution for managing day-use reservations, allowing parks to offer facilities and rentals without additional software. This system provides a seamless experience for both daily and nightly bookings, streamlining operations for management and enhancing convenience for guests.

How Do I Set it Up?:  It is very similar to setting up any other type of reservable unit.  You will need:  a New Site Plan, a New Pricing Tier, and a New Site.  Watch the video below to see how to set your Day Use Items up in less than 10 minutes!


Steps:

  • 1:1 - Create one site per reservable unit. For example, to offer 15 kayaks, set up 15 individual sites.

  • 1:2 - Day Use is 1 rental to 1 person, so make sure you go into your Site Plan (Rate Editor > Edit Site Plan > Policies & Fees) & zero out all policies and fees for your Day Use Site Plans to ensure a smooth guest experience. 
    • The Policies & Fees tab is intended for Overnight Site Plans Only.  If you need to add extra people/pet/vehicle fees or policies on a Day Use item, you can do that with an add-on through the General Store as well as adding it as a Rule in your Rules section.

To accommodate half-day reservations within the RoverPass system, parks can create multiple site listings for the same facility, each representing a specific time block.

For instance, a pavilion can have two separate listings: one for 9 AM–2 PM and another for 3 PM–8 PM.

By setting each time block as a distinct ""daily accommodation,"" guests can easily select and reserve the desired half-day slot. This approach allows for flexible scheduling and maximizes facility usage throughout the day.

  • Listing Update - If you choose to offer Day Use Items, please note that you may want to glance over your listing as a whole to make sure that your Day Use Items are addressed/properly considered.  The most important sections to consider are:
    • Overview (Campground Settings > RoverPass Listing)
    • Custom Fields (Reservation Setup > Custom Fields)
      • If you have any Custom Fields set up that are only applicable to Overnight Accommodations, you may want to edit the text to say ""Applies to Overnight Only.  If you are making a Daily Accommodation reservation, please enter ""X"" here"".

  2. Rules (Campground Settings > Rules)
  3. Cancellation Policy (Reservation Setup > Policies)
      1. You may want to use the section to post two Cancellation Policies (1 for Overnight Accommodations & 1 for Daily Accommodations)

  • Confirmation Process - The confirmation process for Day Use reservations is a bit different from the Overnight confirmation process.
    • What does the Day Use Confirmation Show?
      • Guest Information
      • Date that the reservation is for - There is no ""Check-in"" or ""Check-out"" date.
      • What was purchased (ie your Pricing Tier Name) - Individual ""Sites"" (Tickets / Passes / etc) are not shown.
      • Property Information (Property Name, Address, Email, and Phone Number)
      • What to Know Before Your Stay Information
      • Property Cancellation Policy
      • RoverPass Cancellation Policy
      • Rules (Set by you in your RoverPass Owner Portal for your entire property)
  • Users of RoverPass Hosted Websites - If you utilize a RoverPass-hosted website, you will want to add a hyperlink to your checkout page (Reservation Setup > Buttons & Links > Copy ""Your Reservation Link"") in the Overview Section of your website to allow guests access to book Daily Accommodations.

  • Guest Experience - This feature is intended to provide you with a simplistic solution to offer a Daily Rental Online Checkout Experience to your guests. We do not recommend this solution for more than 100 Day Use items (a 5,000 ticket concert is NOT a good use case).  RoverPass is an overnight solution first and foremost, but we are so excited to offer this solution so that you don't have to keep your Daily Rentals offline or implement another software for ~100 items.
    • Please note that the experience is online only to provide an intuitive experience for your guest... should you need to make a reservation through the Owner Portal, you can do so directly from the calendar but it is recommended to have your guests use the online experience. 
    • Once the guest books online, you will see the Daily Reservation cross dates in the calendar as nightly reservations do.  The reservation date (as stated on the reservation details) is the date the reservation starts on the calendar.

  • Test Your Guest's Experience - As always, once you set it up, check out your guest's experience by clicking from your website through to your RoverPass checkout page and selecting the new ""Daily Accommodations"" Option that should now appear!
