Overview
The Task Management feature lets campground owners and managers create, assign, and track housekeeping tasks for their sites. You can assign cleanings to your staff, set priorities and due dates, and follow each task from Pending to Completed — all from the Task Management tab in the left side menu of your Owner Portal.
Task Management works together with the RoverPass Upkeep mobile app, where your housekeeping staff receive their assignments, track cleaning time, and upload photos of the finished work.
Before You Start
- Tasks can only be assigned to staff members that have been added to your campground. To add staff, see How to Add and Manage Team Members (User Management).
- Make sure your staff have the Housekeeping role (or task permissions) so they can receive assignments and use the Upkeep app.
How to Create a Task
- Log in to your Owner Portal
- Click Task Management in the left side menu
- Click Assign Task in the top right corner
Fill out the Create Task form:
- Task Type — currently Housekeeping (Maintenance is coming soon)
- Select Site — the site that needs cleaning
- Due Date — optional deadline for the task
- Assign To — the staff member responsible for the cleaning
- Set Priority — High, Medium, or Low
- Click Save. The staff member receives an email notification with the task details and a link to the Upkeep app.
⚠️ Each site can only have one active housekeeping task at a time. If a site already has a pending or in-progress task, you'll need to complete or delete it before creating a new one. You'll also see a notice if the site was cleaned less than 48 hours ago.
Task Statuses
Every task moves through three statuses:
- Pending — the task has been created and is waiting to be started. The site is marked as Dirty.
- In Progress — the staff member started cleaning. The site is marked as In Progress.
- Completed — the cleaning is done. The site is marked as Clean.
The site's cleaning status updates automatically as the task moves through these states — you always know which sites are ready for the next guest.

Finding and Filtering Tasks
Use the filters at the top of the Task Management page to narrow down the list:
- Type — Housekeeping (Maintenance coming soon)
- Status — Pending, In Progress, Completed
- Site — one or more sites
- Assignee — one or more staff members
- Due Date — tasks due on a specific date
Editing a Task
- Find the task in the list and open its actions menu
- Click Edit Task
- You can change the Assignee, Due Date, and Priority (the site and task type cannot be changed after creation)
- Click Save — the staff member is notified of the changes by email
If you reassign a task to a different staff member, both the previous and the new assignee are notified.
Viewing Task History
Click View History on any task to see:
- A summary of the task (Site, Assigned To, Priority, Due Date)
- A Timeline of every status change — who made it, when, and how long the cleaning took
- A Photos gallery with the pictures your staff uploaded from the Upkeep app
Deleting a Task
Click Delete on a task to remove it permanently. The site's cleaning status will be recalculated automatically.
Notes
- Email notifications are sent automatically when a task is assigned, reassigned, or updated.
- Photos are uploaded by staff from the Upkeep app — up to 10 photos per task.
- Maintenance tasks are coming soon. Today, Task Management is focused on housekeeping.
