Credits That Keep a Balance in RoverPass

How to Create a Credit That Keeps a Balance

A credit that keeps a balance can be used across more than one reservation. Each booking uses only what it needs, and the rest stays on the credit for the camper's next stay, until the full amount is used. It's a good fit for rain checks, goodwill credits and prepaid stays.

Before you start

  • You need access to Coupon Codes & Credits in your owner account. Staff members need the Coupon Codes & Credits permission (under Revenue Management in Team Members).
  • Keep a balance only works on Credits, which are assigned to one camper's email. General coupon codes can't keep a balance.
  • The credit must be a Dollar Amount. Percentage and per-night credits can't keep a balance.
  • Once a credit keeps a balance, you can't turn the setting off.

How to create a credit that keeps a balance

  1. Log in to your RoverPass owner account. In the sidebar, open Revenue Management, then click Coupon Codes & Credits.
  2. Open the Credits tab and click New Coupon.
  3. Enter a Code (uppercase letters and numbers only) and, if you like, a Description. The description is only visible to your campground.
  4. Under Assign coupon to email, enter the camper's email address. This can't be changed after the credit is created.
  5. Under Coupon Value, choose Dollar Amount and enter the value of the credit, for example $100.
  6. Back in Redemption Settings, check Keep a balance (partial redemption). The box stays greyed out until you choose Dollar Amount, because the form opens on Percentage.
  7. Optional: set the Valid From and Valid Until dates. If you leave Valid Until blank, the credit never expires.
  8. Click Create Coupon.

When a credit keeps a balance, the Redemption Limit field is turned off. The balance is the credit's only limit, so it can be used on as many reservations as it takes to spend it.

How the balance is used

Here's an example with a $100 credit:

ReservationStay costsCredit paysCamper paysBalance left
First stay$60$60$0$40
Second stay$70$40$30$0

Once the balance reaches $0, the credit is fully spent and can't be applied again.

The credit works like any other coupon code: the camper enters the code at checkout under Discounts, or your staff enter it in the Coupon code field of the Reservation Builder. A credit that keeps a balance can only be used on a stay with dates. Like other coupons, it applies to the reservation subtotal, not to taxes and fees.

Tracking a credit's balance

  • On the Credits tab, the Balance column shows how much is left on each credit that keeps a balance.
  • Click the balance to see the credit's activity underneath it: the Date, the Reservation, the Amount and what happened to the Credit (Issued, Drawn, or Drawn and returned). Click a reservation number to open it.
  • Open the credit itself to see a Balance card with the amount Remaining, the Credit value, how much has been Drawn, and a bar showing how much is used.

What your campers see

Campers can see their credits by signing in to their RoverPass account with the email the credit is assigned to and clicking Credits in their account menu. The My Credits page lists each credit with its park, whether it's Active or Inactive and, for credits that keep a balance, how much is left. Opening a credit shows its details and activity.

When a reservation is cancelled

If a reservation that used the credit is cancelled, rejected or expires, the amount it used goes back on the credit. In the credit's activity, that line shows as drawn and returned.

If you reopen that reservation later, it takes the amount from the credit again. If the camper has already spent that money on another stay, the reservation can't be reopened with the credit, and you'll see a message saying so.

When you modify a reservation, the credit is recalculated against what's left on it, so the camper never gets more than the credit's balance.

Editing a credit that keeps a balance

  • Keep a balance can't be turned off once it's saved.
  • Changing the value changes the balance available now, not only for future bookings. Before saving, RoverPass shows how much has already been drawn from the credit and asks you to confirm with Yes, Save Changes.
  • Turning it on for an existing dollar credit starts the balance at the credit's full value. Bookings the credit already discounted don't count against it.
  • To stop a credit from being used, archive it or change its Valid Until date.

Good to know

  • "This credit no longer has enough balance to cover this reservation." The balance was used up, often by another booking. Remove the code, or re-apply it to see what it still covers.
  • A credit that keeps a balance can't be combined with a Discount Club, the same as any other coupon.
