If a site shows as booked but is not appearing in your RoverPass dashboard — or a reservation seems to be missing entirely — this is usually caused by a filter setting, a pending reservation status, or a sync issue that support can resolve quickly. Use the steps below to triage the issue before contacting RoverPass Support.
Common Reasons a Booked Site May Not Appear
- Reservation is in a pending/request status — Reservation requests that have not yet been approved do not always appear in the same views as confirmed reservations. Check your Reservations tab and look for a pending or requests filter.
- Date range or filter is set incorrectly — The dashboard view may be filtered to a date range that excludes the reservation in question. Verify that the date range shown includes the check-in or check-out date of the missing booking.
Reservation was made on a partner or third-party channel — reservations made through an external platform (such as a partner OTA) are displayed as Inventory Holds rather than standard reservations. They will not appear directly in the Reservations tab. To view them, click Click here for Inventory Holds.
- Site was recently added or edited — If a site was archived, renamed, or its settings were changed around the time of the booking, the reservation may not display correctly.
- Reservation was cancelled — A cancellation by the camper or a staff member may have removed the booking. Check your cancellation records or filter for cancelled reservations.
- Sync or display bug — In rare cases, a technical issue can cause confirmed reservations not to render in the calendar or list view even though the booking exists in the system.
Steps to Triage
- Log in to your RoverPass Owner Portal.
- Navigate to the Reservations tab and confirm the date range filter includes the dates of the missing booking.
- Check for any active status filters (e.g., Confirmed, Pending, Cancelled) and clear or broaden them so all statuses are visible.
- If the reservation was made through a third-party channel, check the Click here for Inventory Holds link or access your Inventory Holds report in the Reports tab.
- Search for the reservation by the camper's name or confirmation number if a search field is available.
- Open your reservation Calendar view and navigate to the dates in question to see if the site appears blocked or booked there even if it is missing from the list view.
- If the booking still cannot be located after these checks, contact RoverPass Support with the camper's name, site number, and check-in/check-out dates so the team can investigate the record directly.
- The camper has a confirmation email or number but the reservation does not exist anywhere in your portal.
- The site appears available on your booking page even though it should be occupied.
- Multiple reservations are missing at the same time, which may indicate a sync or data issue.
