Adjusting the Tax Settings on Your RoverPass Account

How to Manage Tax Settings in RoverPass

RoverPass gives you control over the tax settings applied to your reservations, products, and fees. You can configure your tax rates based on your property's requirements and update them at any time.

Please note: RoverPass does not collect or remit taxes on your behalf. Any taxes charged to campers are paid out to you through Direct Deposit, and it is your responsibility to submit those taxes to the appropriate government agencies.

How Taxes Work in RoverPass

When a tax rate is configured, it is automatically added to the applicable charges and collected from the camper.

You can manage taxes at different levels:

  • Account-wide settings (default tax settings)
  • Individual Site Types
  • General Store products
  • Custom fees
  • Reservation cart items
  • Invoice line items

More specific tax settings will override your account-wide defaults.


Adjust Your Account-Wide Tax Settings

To update your default tax settings:

1- Go to the ´Taxes´tab in your RoverPass Owner Portal under ´Reservation Setup´ and adjust the following fields:

Rate (Reservation Tax)

This tax applies to the fees that make up a standard reservation, including:

  • Nightly Rate
  • Extra People Fees
  • Extra Pet Fees
  • Extra Vehicle Fees

Sales Tax Rate

This tax applies to additional purchases, such as:

  • General Store products
  • Add-ons

Adding Multiple Taxes Together

If you charge multiple taxes for the same item, combine them into one total percentage before entering the rate in RoverPass.

Examples:

  • 6% lodging tax + 3% transient tax = Enter 9% as the Rate
  • 6% sales tax + 2% local tax = Enter 8% as the Sales Tax Rate

Tax Pricing Options

For most campgrounds located in the United States and Canada, we recommend using the default option:

Tax-Exclusive Prices (U.S.)

The alternative option is designed for campgrounds operating in other countries.


Tax Overrides

Your account-wide tax settings can be overridden in the following areas:

  • Site Types
  • General Store Products
  • Custom Fees added through the Reservation Builder
  • Cart adjustments in the Reservation Builder
  • Invoice line items

If a tax rate is set at one of these levels, it will override your account-wide tax settings for that specific item.


Where to Update Tax Overrides

1. Site Types

Each Site Type can have its own reservation tax rate.

To review the tax rate for a specific Site Type:

  1. Go to the Site Lock and Rates page.
  2. Select the Site Type you want to update.
  3. Check the tax rate

2. General Store Products

To update the tax settings for a General Store product:

  1. Go to General Store > Products.
  2. Select the product you want to update.
  3. Choose the appropriate tax option:
    • Sales Tax
    • Non-Taxable
    • Custom Tax Rate
  4. If selecting Custom Tax Rate, enter the desired percentage.
  5. Click Update Product.

3. Custom Fees Added During Reservation Creation

To add or update tax for a custom fee:

  1. Start creating a reservation using the Reservation Builder.
  2. On the Guest Information page, click Add Additional Fee.
  3. Enter the applicable tax rate for that fee.

4. Cart Adjustments in the Reservation Builder

Tax settings can also be adjusted when modifying items in the reservation cart.

5. Invoice Line Items

Taxes can also be adjusted directly on invoice line items.

Note: Electric fees are not taxed by default. If you need to apply tax to electric fees, you must configure this through your Meter Reading settings.


View Tax Reports

To review how taxes are being applied to reservations, use the Itemized Tax Report in the Reporting section of your RoverPass Owner Portal.

This report provides a breakdown of taxes collected for each reservation and item.
