What to Know Before You Stay: Guest Information for Sites

What to Know Before You Stay: Guest Information for Sites

What Is It?

"What to Know Before You Stay" is a feature that lets you share important arrival and stay details with your guests — like Wi-Fi passwords, gate codes, amenities key codes, and custom messages — directly on their booking confirmation page and confirmation email.
You can set this information at two levels:
  - Park-wide defaults — applies to all sites across your property
  - Per-site overrides — customize the info for individual sites (e.g., different Wi-Fi networks in different areas)
What to Know Before Your Stay Configuration

Why Use It?

  - Fewer phone calls and emails — Guests get the info they need (gate codes, Wi-Fi, etc.) automatically, reducing front-desk inquiries.
  - Better guest experience — Guests feel prepared and welcomed before they even arrive.
  - Flexible messaging — Share seasonal reminders, quiet hours, check-in instructions, or anything else guests should know.
  - Site-specific details — Different areas of your park may have different gate codes or Wi-Fi networks. Set it once per site and forget it.

What Guests See

After booking, guests will see a "What to Know Before Your Stay" section on their confirmation page and in their confirmation email. This can     include:
  - A custom message (rich text — you can bold, add links, lists, etc.)
  - Gate Code
  - Wi-Fi Network and Wi-Fi Password
  - Amenities Key Code

This section only appears if you've filled in at least one field. It stays visible until the guest checks out.

How to Set It Up

Setting Park-Wide Defaults
  1. Go to Admin > Policies (in your campground settings)
  2. Scroll to the "What to Know Before Your Stay" section
  3. Fill in any of the following:
    1. Information for guests — Use the text editor to write a custom welcome message, arrival instructions, quiet hours, or anything else. You can format text with bold, links, and lists.
    2. Gate Code — The code guests need to enter your property
    3. Wi-Fi Network — Your Wi-Fi network name
    4. Wi-Fi Password — Your Wi-Fi password
  4. Amenities Key Code — Code for shared amenities (pool, laundry, etc.)
  5. Click Save
These values will apply to all reservations across your park unless overridden at the site level.

Setting Site-Specific Information

If certain sites need different details (e.g., a different gate code or Wi-Fi network):
  1. Go to Admin > Sites and select the site you want to customize
  2. In the site wizard, go to Step 5
  3. You'll see the same fields as the park-wide settings
  4. Fill in only the fields you want to override — any fields left blank will fall back to your park-wide defaults
  5. Click Save
Example

Tips

  - You don't need to fill in every field — only the ones relevant to your park will show up to guests.
  - Update codes seasonally or as needed; changes apply to all future reservations immediately.
  - Use the custom message field for anything beyond codes — check-in times, pet policies, nearby attractions, or a simple welcome note.
