Commonly Asked Questions About RoverPass and Tax Season

Tax season can bring up many questions about payments, taxes, and 1099-K forms. Below are answers to some of the most common questions from RoverPass parks.

Please note: RoverPass does not provide tax advice. The information below is intended to help you understand how payments and tax reporting work through RoverPass. For questions about your specific tax situation, please consult a tax professional.


1. Does RoverPass remit taxes on my behalf?

No. RoverPass does not remit taxes on behalf of any park.

RoverPass provides tax settings within the Owner Portal that allow you to configure the taxes applicable to your property. Your Onboarding Specialist can help you set this up, and you can update your tax settings at any time.

If a tax percentage is configured, the tax amount is collected from the camper and included in your payout through Direct Deposit. It is your responsibility to report and remit those taxes to the appropriate government agencies.


2. How do I know how much tax I have collected?

You can view collected tax amounts in the Reports section of the RoverPass Owner Portal.

Tax information can be found in:

  • All Transactions Report
  • Payouts Report
  • Direct Deposit Report
  • Reservation Financials Report
  • Fees and Tax Report 

3. What is a 1099-K Form?

Form 1099-K, Payment Card and Third-Party Network Transactions, is an IRS tax form used to report certain payment transactions processed through payment card networks and third-party settlement organizations.

Companies such as RoverPass (through Stripe), Airbnb, VRBO, and other platforms that facilitate payments may be required to issue a 1099-K to eligible recipients and report that information to the IRS.


4. What transactions are included on my 1099-K?

Your 1099-K includes eligible payment transactions processed through your Stripe account.

This generally includes payments made by campers using credit or debit cards through RoverPass. Processing fees and platform fees may be deducted before funds are paid out to you, but the gross payment amount reported on your 1099-K may not match the exact amount deposited into your bank account.

Refunds may still be included in the gross payment amount because the original payment was processed through Stripe.

Transactions marked as Cash or Check are not processed through Stripe and are not included on your 1099-K. You are responsible for tracking and reporting those payments separately.


5. Why did I receive a 1099-K this year when I did not last year?

Third-party settlement organizations like RoverPass (through Stripe) are required to issue a Form 1099-K when a park exceeds the federal reporting threshold:

  • More than $20,000 in gross payments, and
  • More than 200 transactions during the calendar year

If your park met both requirements for the first time, that is why you received a 1099-K this year.

Please note that different reporting rules may apply to direct payment card transactions processed through payment networks.

For the 2025 tax year (forms issued during the 2026 tax season), only parks that exceeded both thresholds above for third-party network transactions will receive a 1099-K.


6. What happens when I confirm my tax information?

Confirming your tax information ensures that RoverPass and Stripe have the required information to properly issue your tax forms.

Important: Make sure your SSN/EIN and legal entity name match your official tax documents exactly.

If the information does not match, your tax form may be rejected and require corrections before it can be processed.

Example:

If your SS-4 shows:

Legal Entity Name: ABC Family Businesses LLC DBA Frank's RV Park
EIN: 12-3456789

Your W-9 and Stripe account should show:

Legal Entity Name: ABC Family Businesses LLC DBA Frank's RV Park
EIN: 12-3456789

The following examples would not be accepted:

Frank's RV Park
Missing the full legal entity name.

ABC Family Businesses LLC DBA Franks RV Park
Missing the apostrophe in "Frank's."

ABC Family Businesses LLC
Missing the DBA portion.

ABC Family Businesses LLC DBA Frank's RV Park / EIN: 123-45678
Incorrect EIN format.

If you are a Sole Proprietorship, your personal legal information must be provided. We cannot submit the business name instead of the owner's legal name.

If your account meets the reporting requirements, RoverPass (through Stripe) will issue your Form 1099-K during the 2026 tax season and provide a copy to the IRS.

If you do not meet the reporting requirements, you will not receive a 1099-K. However, you can still access your financial reports in the Owner Portal to assist with your tax reporting.


7. When do I need to confirm my tax information?

You should confirm your tax information as soon as possible to ensure your account is ready for tax reporting.

For the 2025 tax year, tax information should be confirmed before the end of 2025 to allow enough time for processing and 1099-K preparation during the 2026 tax season.


8. What happens if I do not confirm my information?

If your tax information is not completed, payouts for your account may be placed on hold until the required information is provided.

If you do not provide your tax information, Stripe may still be required to issue tax reporting documents with missing or incomplete information, which could require additional corrections.
