How to Set Up Self Check-In for Your Campground

Self Check-In lets guests check themselves in (and out) from their own phones when they arrive, instead of waiting at the front desk. You post a QR code at your entrance or office; guests scan it, find their reservation, and confirm their arrival. It's a great fit for late arrivals, busy check-in windows, or contactless operations.

Turn On Self Check-In

  1. Log in to your RoverPass dashboard and open your campground's Policies page.
  2. Scroll to the check-in and check-out settings and find the Self Check-In section.
  3. Switch on the Activate Self Check-In toggle.
  4. Save your changes.

Once the toggle is on, your campground's unique check-in link appears right below it.

Get and Print Your QR Code

RoverPass gives you the check-in link; you turn it into a QR code with any free QR code generator.

  1. In the Self Check-In section, click Copy URL to copy your check-in link.
  2. Paste the link into a QR code generator (search "free QR code generator" — most let you download an image in seconds).
  3. Download the QR code and print it.
  4. Post the printed code where arriving guests will see it: the entrance, the office door, or check-in signage.

You can also share the link directly — in confirmation emails, on your website, or by text.

What Your Guests See

  1. The guest scans the QR code and lands on your campground's Check In page.
  2. They enter their Reservation Code and Email Address, then tap Find My Reservation.
  3. They review their reservation details — guest name, site, dates, and any remaining balance — and tap Confirm Check-In.
  4. They see a confirmation that they're checked in.

An outstanding balance won't block check-in. The guest sees a note asking them to settle it at the office.

When a checked-in guest is ready to leave, the same page offers Confirm Check-Out.

Where Checked-In Guests Appear

Self check-ins update the reservation just like a check-in done by your staff:

  1. The reservation's status changes to checked in on your dashboard.
  2. On your Check-In Board, the guest's status flips from Arriving to At Site in real time.

If you ever switch the toggle off, the check-in page tells guests self check-in isn't available and shows your written check-in procedure instead.
