How RoverPass Calculates Monthly Rates for Reservations

RoverPass automatically calculates reservation totals based on the reservation length and your campground's configured monthly, weekly, and nightly rates.

This article explains how monthly rates are applied in the following scenarios:

  • Reservations of 45 nights or more
  • Reservations between 30 and 44 nights
  • Reservations that begin on the 1st of the month and end on the 1st of a later month

Case 1: Reservations of 45 Nights or More

For reservations lasting 45 nights or more, RoverPass prorates the monthly rate for each month included in the reservation.

How it works

For each month:

  1. Divide the monthly rate by the number of days in that month to determine the prorated nightly rate.
  2. Multiply the prorated nightly rate by the number of nights the guest stays during that month.
  3. Repeat this calculation for every month included in the reservation.
  4. Add the totals together to calculate the reservation cost.

Formula

(Monthly Rate ÷ Days in the Month) × Nights Stayed During the Month

Example

Reservation: October 15 – November 30

October

  • Monthly Rate: $700
  • Days in October: 31

Prorated nightly rate:

$700 ÷ 31 = $22.58

October total:

$22.58 × 17 nights = $383.86

November

  • Monthly Rate: $850
  • Days in November: 30

Prorated nightly rate:

$850 ÷ 30 = $28.33

November total:

$28.33 × 29 nights = $821.57

Total Reservation Cost

  • October: $383.86
  • November: $821.57

Total: $1,205.43


Case 2: Reservations Between 30 and 44 Nights

For reservations lasting 30 to 44 nights, RoverPass applies the monthly rate only to the first 30 nights.

Any nights beyond the first 30 are calculated using your campground's configured nightly or weekly rates.

Step 1: Calculate the First 30 Nights

If those first 30 nights span multiple months, RoverPass prorates each month's monthly rate.

Formula

(Nights Stayed During the Month ÷ Days in the Month) × Monthly Rate

Repeat this calculation for each month included in the first 30 nights, then add the totals together.

Example

Reservation: October 15 – November 16 (33 nights)

The first 30 nights include:

  • 17 nights in October
  • 13 nights in November

October

Monthly Rate: $700

Days in Month: 31

(17 ÷ 31) × $700 = $383.87

November

Monthly Rate: $850

Days in Month: 30

(13 ÷ 30) × $850 = $368.33

Note: Although the reservation includes 16 nights in November, only the first 13 nights are included in the monthly-rate calculation because monthly pricing only applies to the first 30 nights.

Step 2: Calculate the Remaining Nights

The remaining nights are priced using the configured nightly or weekly rates.

In this example:

  • November 14 (Saturday): $85
  • November 15 (Sunday): $69
  • November 16 (Monday): $69

Remaining nights total:

$223

Total Reservation Cost

First 30 nights:

  • October: $383.87
  • November: $368.33

Remaining nights:

  • Nightly Rates: $223.00

Total: $975.20


Case 3: Reservations from the 1st to the 1st of a Month

If a reservation is 44 nights or fewer and begins on the 1st day of a month and ends on the 1st day of a later month, RoverPass treats the first month as a full calendar month.

Instead of prorating that month, the full monthly rate is applied.

Any additional nights after the first full month are then calculated using the campground's configured nightly or weekly rates.
